From EnCCoMPass Transfer:
I. Click the ‘Transfer’ tab, and then click ‘Add Transfer’.
From EnCCoMPass Census:
I. Individual cage: Once a desired cage is found on the Cage Management page, click the ‘Actions’ button and then click ‘Transfer’. This will launch the Add Transfer Form and automatically populate the selected cage.
II. Multiple cages: On the Cage Management page, check the checkboxes next to the cages to be transferred and click the ‘Batch Action’ button at the bottom of the page. On the Batch Action page, select ‘Transfer’ as the action and click ‘Perform Action’. This will launch the Add Transfer Form and automatically populate the selected cages.
Transfer requests between PIs require acceptance by the receiving Animal User or PI. The receiving Animal User or PI will receive an EnCCoMPass email containing a link to the request, where the transfer can be accepted or rejected. If accepted, the options of modifying some aspects of the request such as protocol number, funding source, housing location, etc. will be available.
When filling out the ‘Transfer Protocol Selection’ section of the request form and the number of animals listed is incorrect, click the ‘please update the numbers’ link. In the pop-up window, enter the correct number of animals then click ‘Update Numbers’.
When a transfer request is ready to be performed, an email will be sent to the investigator containing links to mark the transfer as completed. Once the cage or cages are moved, please click the links in the email to mark the transfer as complete.
Alternatively, you can open the existing transfer request and click the ‘Complete Transfer’ button at the bottom of the page after you have moved the cage(s).
If updated cage cards are needed (typically during a protocol transfer), an email will be sent which includes links to print the replacement barcodes. Place the updated barcodes over the existing barcode of the cage with the same cage card number.
Open the transfer request and click “Exclude” in the “Action” column of the cage that should not be transferred. If the entire request is to be cancelled, all cages will need to be “excluded”.
Blanket transfers are available for PIs who wish to transfer animals from one room to another within the same facility, where the PI currently has animals located, multiple times over an extended period. Blanket transfers remain active for 6 months, if approved.
Certain fields or “drop down” boxes will automatically populate options that are available to that particular PI or Cage. For instance, when requesting a transfer to another room or facility, the ‘Facility’ and ‘Room’ fields will only display options where the receiving PI currently has animals of the same species. By checking the ‘All Rooms’ checkbox, all rooms for the same species will be displayed and the request will require approval from the facility manager.
Investigators may perform transfers only when the transfer is within the same facility or to a non-barrier facility.
